Things to Consider When Considering Hiring Event Planners

Are you thinking about hiring an event planner for your next even? Consider these tips from the team at South Florida Bounce.

In the event that you should ever have to hire a party planner, we may have a few ‘Pearls of wisdom’ for you.  While no one will argue, there’s a lot of party and event planners in the South Florida area, it’s best to select someone you either know or have a referral.  But if you don’t, we compiled a few tips that may come in handy. Pass this on if you’re in the market for one of these incredibly hard working individuals help you with the next Smith Family Swaraj.   

Write down everything you want to do for the party.

Break down what you want the event planner to help you with, then add what the planner’s responsibilities are, what yours will be (if any) and then what you’ll work on together.

Listen to the planner, once you’ve agreed on a plan.  Get what you paid for by letting this person assist where they are needed.  Try hard not to get in their way, by offering limited direction and control.

Finding a reputable planner is easy when you live in an area where everyone you know is in the hospitality business.  They’ve probably got event planners coming out of the palm tree prawns.  Ask for their recommendations, then check their references and make sure you get a good report from places like the Chamber of Commerce or any other association the planner may be involved in.

Don’t waste time, it’s the only one thing you can never get back. By living a life of demanding to get what you paid for or bust is perfectly acceptable.  If the planner isn’t doing a good job for you, never be afraid to go in another direction.  Most people you encounter will want to carry out a good reputation.  But don’t waste your own time or theirs if you aren’t happy with their performance. If they’re new, be gentle but let them know why it isn’t working out.  They will be glad you did later on.

Ask for a proposal, once you’ve determined a budget.  That should be in writing with a break-down of work expected.  A work for hire agreement is one that may be expected to be signed by both parties.  The planner should have these items, since these are industry standards.

Remember that these folks do not have to be licensed and are not regulated by the government.  Do your due diligence and expect a background check to be done. Especially if this person will be given permission to pay for charges with your credit card or if they’ll be involved with entering your home.  Safety first, a good event planner will be understood and should be willing to accommodate.

Negotiating their prices is perfectly legal.  Ask them to go lower if you feel that other people have offered a greater value.  On the flip side, tip them if they are deserving of a job well done.

The most important element here is to remember why you’re throwing the party or event in the first place. Although it’s normal for many people to get anxious when planning a big celebration or corporate outing, but getting the right person to help you can make a big difference.  By making a solid and agreeable plan before throwing the party, having a realistic budget and a good working relationship with your planner will make your life easier.

Team Building Relay Races for Your Next Event

Have a Team Building Relay Race  for your Next Event – From South Florida Bounce Party and Bounce House Rentals

Try organizing these types of activity for family reunions, charity events and school events.  

Relay races are not only a great way to perform athletic activity, they’re great for team building skills, team spirit and agility testing. Here are a few ideas taken from various resources for you can incorporate in your next event.  Don’t forget to include an obstacle course as part of your racing. 

First break down your teams.  Appoint a captain who is committed to motivate the team when the going gets tough. If you have the budget and want to provide shirts made, then contact a T-shirt making place ahead of time.  Places like VistaPrint.com can be cost efficient when purchasing shirts in bulk. If you are a last minute planner, then check places like Walmart and Target and buy plain colored shirts for you to identify teams.

Next explain the rules of the race.  This is important so everyone can understand what things they can become disqualified for and what they need to do to win.

Dribbling Relay:  Four to five teams having the equal number of players line up behind a starting like. In front of each team, about 10 to 15 meters away a turning point is marked, and on the way one or more objects are placed on the ground. The front most players of each team will be in possession of a basketball. At the signal ‘Go’, the number of one player of each team starts to dribble the ball with one hand around the objects, which should be placed in front of him. He encircles the first object with his left side towards it, and dribbles to the next, around which he goes with his right side towards it. He then dribbles the ball straight back to the starting line. Here he hands the ball over to the next player and stands at the back of his team. All players go forward and come back in turn. The team completing this first is the winner and the other teams are given places according to the order of finishing. Found on WiseBlog.com

Balloon Pop: Inflate enough balloons for each player. Have your team members lined up in rows and place an empty chair opposite each row a good distance away. Give each player an inflated balloon. Team members race one at a time to the chair, sit on their balloon and pop it. The first team to pop all their balloons wins. Found on Icebreakerideas.com

The Three-Legged Race: One person ties his left leg with another person’s right leg. They work together to run or walk (or stumble??) to their goal and back. Strap the legs together at the ankle or calf with a strip of fabric, bandana or stretchy nylon.

Pass the Doughnut:  Team members pass a doughnut from the first person in line to the last person in line using only the straws (or sticks) in his/her mouth. Found on family-reunion-success.com

Beach Balls Crazy: In this race you’ll need inflatable doughnuts, flippers for all sizes, water wings, and pool noodles. Each participant wears a set of wings, places the doughnut around their waist and the flippers on their feet.  A swimming pool noodle is placed at the front of the line (one per line).  The teams line up one at a time they wear the beach gear and race to the other side grabbing the noodle and running it back.  Whichever team makes it to the end with all players having a turn is the winner. 8 Bounce House Safety Rules Made Simple

The crew at South Florida Bounce is all for creating memorable moments at your party.  However SAFETY FIRST.  So our team in South Florida wanted to give you a few simple rules to keep your next bounce house party fun and safe.

We’re often faced with many decisions as parents and as a community of people who genuinely care.  While parties can be fun, we want nothing but the best and safest time for our patrons and their guests and we do everything to administer that safety. But safety is everyone’s responsibility when enjoying the use of bounce houses, slides and other inflatables. Here are some very simple and polite etiquette that will help ensure that your children and their company will bounce off into the sunset with minimum issues, keeping you safe.

7. Children with Special Needs

Hand Sanitizers became popular back in the 90’s, but has become more of a common practice.  Many times you can find sanitizer dispensers when entering a hospitals or doctor’s offices.  It’s important to use this tool before and after playing in the bounce houses.  By doing this you’re taking an extra precaution to kill germs found on the hands. Make sure you have plenty of sanitizer on site when you rent a bounce house. 

In most cases shoes will not be necessary, but socks are good for keeping your child from getting scraped and can also enhance the fun without sticky feet that doesn’t allow a good maneuver throughout the apparatus. Although these are relatively safe, children can get stuck in the nets or scraped by the seems so more body coverage is better.

Rough housing is expected when kids are playing in the house.  This is one time they should be allowed to play and have a good time. However, kids need to understand that they can still be injured if they don’t follow ‘safety first’.  Don’t allow bigger kids to throw smaller children inside the inflatable. This can cause things like neck and head injuries.

Sharp objects like children’s toys can sometimes be forgotten when tucked into somebody’s pocket.  Make sure the child only enters the bounce house with empty pockets and absolutely NO weapons should be allowed.

Food and drinks are usually present at carnivals and events, but this is highly prohibited inside of an inflatable.  Seems harmless but even water can cause problems when brought into these toys.  Food particles can become bacteria if caught in the seams or sides of the houses.  Even though every measure is taken to clean the houses after each use, we need to be pro-active for the safety of others.

Supervision is always a mandatory tool that is implemented at every event. Parents need to be present or a responsible adult needs to always be in sight in case of emergencies. Remember, we are always available to help with further suggestions.

Peanut Island Park & Loggers Run: Two Swell Places to Party It Up!

Two Great Places To Have a Party – Peanut Island Park & Loggers Run

If you live in Palm Beach County, and are looking for two dynamite places to throw a party, check out Peanut Island Park and Loggers Run. Both parks offer clean and spacious grounds with pavilion rentals for your convenience. Here are a few things to point out about these great locations that we think you might find helpful when planning an event.
No matter if you’re planning an outing for the whole family or the entire fifth grade, it’s always good to keep a few places in mind to throw a good party. Loggers Run is a terrific place for your gathering with a large pavilion that’s suitable for big groups. There is an assessment fee of $25.00 and you should contact their offices to find out about permits and vendors. No advertising for large parties is permitted and reservations need to be made 90 days prior to your event.
They do offer things like volleyball and tug-of-war for equipment rentals. If you plan on including this, they do require a $50 deposit. Be sure to check their website for more information on renting this type of equipment.
They do allow pets at this park, but as always you need to keep your precious pooches on leashes as a state law. Music is permitted, but you need to get this okayed with the park customer service before the event. The sound can’t travel louder than fifty feet, so keep in mind, you’ll need to be cautious with your DJ’s. Even though you can’t blast out the neighbors this is a great park and one you’ll really enjoy if you’re looking for something simple, meaning not a lot of amenities. If you’re seeking a park that offers more, check out Peanut Island.
Peanut Island is a No Alcohol park that’s located near the Intracoastal, near the Lake Worth Inlet and Riviera Beach. The beach itself offers quiet sandy locations and is close to cabana style pavilions. You can see manatee often in the water munching on grass and other plankton. If you’ve got a boat, there’s plenty of room to dock or launch.
Peanut island has designated swimming areas with lifeguard on duty during specific times between 9:15 to 4:45 pm daily. The 80-acre park is great for church functions and has the ability to service large groups. Be sure to bring food as they have no concessions, but do have first come-first serve picnic and grilling areas.
